# How do I manage multiple Airbnb properties?

## Short answer

Standardise four things: one calendar across every property, one list of bookings, income and costs tracked per property, and a monthly statement for each owner if the properties are not all yours. In Airflow each property is a listing. Bookings from every channel land in one calendar that shows all of them, each invoice line is tagged to its property in your accounting package, team members get access to the properties they work on, and an owner statement is produced per property.

## What breaks between one property and five

One property can be run from the Airbnb app and memory. At three or four, the things you used to know by heart, who arrives where tomorrow, which place is free next weekend, which one made money, need to be written down somewhere, and the Airbnb app shows one listing at a time.

Money is where it hurts most. Payouts for several listings arrive together, and working out what each property earned means splitting them by hand. If you manage for other owners, each of them wants that answer every month.

## Properties owned by different people

For each managed property Airflow closes the month: income, less channel commission, management fee and expenses, equals the amount payable to the owner. The statement goes to the owner by email and in a read-only portal, and to Xero as a draft bill. If the businesses are entirely separate, one login can hold several organisations, each with its own properties, accounts and team.

## When you need a property management system

A full PMS earns its cost when you need prices pushed to every channel, one inbox for platform messages, or scheduling for a large cleaning team. Many hosts reach ten or more properties without those. The usual signal is how often you change prices by hand.

## Other ways to do this

- **Airbnb's own multi-listing tools**: Airbnb has a multi-calendar and team permissions for hosts with several listings. Free, and limited to Airbnb bookings.
- **A property management system**: Hostaway, Guesty, Hospitable and others. Built for portfolios, with channel APIs and team features. Usually priced per listing per month.
- **A co-host or management company**: Hand the day-to-day to someone else for a share of the income.
- **A spreadsheet per property**: Common, and it holds up to about three properties if one person keeps it.

- Airflow does not push prices to Airbnb or other channels.
- It is not a trust-accounting system and does not hold or move owners' money.
