Account & Data Deletion

Overview

You have the right to delete your Airflow account and all associated data at any time. This page explains what happens when you request deletion, how to initiate it, and what data is affected.

How to Delete Your Account

You can request account deletion in two ways:

1. From the Airflow Portal

To delete your account, navigate to your active organisation, cancel your plan and subscription, and select Delete Account. This will remove all your data.

2. By Email

Send an email to [email protected] from the email address associated with your account. Include:

  • Your full name
  • The email address registered to your account
  • The organisation name (if applicable)
  • A clear request to delete your account and all data

We will verify your identity and process your request within 7 business days.

What Gets Deleted

When you delete your account, the following data is permanently removed:

  • Your user profile — name, email, preferences, display settings
  • Organisation data — if you are the sole owner, all organisation data is deleted including:
    • Resources (properties, boats, services, etc.)
    • Bookings and booking history
    • Guest records and communications
    • Documents and uploaded files
    • Invoices and financial records
    • Activity logs
    • Portal site content and settings
    • Connected integrations and credentials
  • Billing information — subscription records, payment history (Stripe records are retained by Stripe per their own retention policy)
  • Authentication tokens — magic link sessions, access tokens

What Is Retained

Certain data may be retained after account deletion where required:

  • Legal and compliance records — transaction records required by tax or financial regulations may be retained in anonymised form for up to 7 years
  • Aggregate analytics — anonymised, non-identifiable usage statistics may be retained for product improvement
  • Stripe payment records — payment processing data is managed by Stripe under their privacy policy and data retention policies
  • Xero / accounting software records — invoices created in third-party accounting software are managed by those services and are not deleted by Airflow

Multi-Member Organisations

If your organisation has multiple members:

  • Deleting your account removes your user profile and membership from the organisation. The organisation and its data remain for other members.
  • Deleting the organisation requires you to be the organisation owner. All members will be notified before deletion is processed.
  • Transferring ownership is recommended before deleting your account if other members depend on the organisation data.

Processing Time

  • Portal-initiated deletions — Deletion requests are actioned promptly once received. User data is removed first, with organisation data deletion taking up to 24 hours to propagate, and backups purged within 30 days.
  • Email-initiated deletions are processed within 7 business days after identity verification.
  • Backups — deleted data may persist in encrypted backups for up to 30 days before being permanently purged.

Data Portability

Before deleting your account, you may wish to export your data. You can:

  • Export bookings and financial data from the portal dashboard
  • Download documents and uploaded files
  • Request a full data export by emailing [email protected]

We will provide your data in a machine-readable format (JSON or CSV) within 7 business days of your request.

Cancellation of Deletion

If you change your mind after initiating deletion:

  • Portal deletions — contact us within 24 hours at [email protected] to cancel
  • Email deletions — reply to the confirmation email before processing is complete

Once deletion is processed, it cannot be reversed.
