Run Your Bookings From WhatsApp: Forward, Complete, Confirm

Your guests are already on WhatsApp. Now your whole business can be too.

In Nairobi, Dar es Salaam, Lagos and Lamu, business does not happen in a browser tab. It happens on WhatsApp. The enquiry comes in on WhatsApp. The deposit is agreed on WhatsApp. The "is the room ready?" message at 11pm is on WhatsApp. For a huge number of hosts across emerging markets, WhatsApp is not one channel among many. It is the channel.

So why should running your property mean stopping what you're doing, opening a laptop, finding the right tab, and clicking through a system?

It shouldn't. And now it doesn't.

Airflow works directly on WhatsApp. Forward a booking and it's logged automatically. Ask how much you've earned and you get a real number. Change a price, block some dates, pause a listing, or add a photo to your gallery — just by typing, in the chat you already live in.

Forward a booking, get it logged

The core idea is simple. You get a booking confirmation — from Airbnb, Booking.com, a direct enquiry, a message from a returning guest, anything — and you forward it to Airflow on WhatsApp.

From there, the AI does the work:

  • Guest details — name, contact, number of guests
  • Dates — check-in, check-out, number of nights
  • Pricing — total amount, nightly rate, fees, currency
  • The property — matched to the right resource in your account

A booking record is created and appears on your calendar. No retyping. No switching apps. No "I'll log it later" that turns into a forgotten booking three weeks down the line.

When something's missing, Airflow asks

Real bookings are messy. A guest WhatsApps you "Hi, me and my husband want to come to Wimbi House from the 10th of September, is it free?" That's a booking forming in real time — but there's no check-out date and no agreed total yet. Forward that to most systems and it's either rejected for being incomplete or saved as a broken half-record.

Airflow does something different. It takes what it can read, works out what's missing, and asks you for it — "I've got Aisha's booking from 10 Sept, but I still need the check-out date and total." You reply in plain language ("checkout 17 Sept, total 1800 USD"), it shows you a clean summary, and you reply YES to add it or CANCEL to discard. Confirm before add. Cancel anytime.

Ask Airflow anything about your business

Airflow on WhatsApp isn't only for forwarding — it's an account manager you can ask. Type a question in plain English and get a straight answer drawn from your real data:

  • "What's my forward income?" — everything booked but not yet stayed, across every year.
  • "What's my total income to date?" — what you've actually earned so far, all-time.
  • "What are my 2027 bookings?" — any year, broken down.
  • "Who's checking in next?" — your upcoming arrivals, dates and guests.
  • "Who are my best clients?" — top guests by spend.

It answers from your actual bookings, not guesswork. And when something genuinely isn't available over chat, it says so and points you to your portal — rather than inventing a number.

Run your place from the chat

This is the part that turns Airflow on WhatsApp from a logbook into a remote control for your listing. Ask for a change in plain language and Airflow makes it — always showing you exactly what it's about to do and waiting for your YES first:

  • Set your nightly price — "change Wimbi House to $250 a night"
  • Block or unblock dates — "block 10–15 Sept for an owner stay" (it won't let a block clash with a real booking)
  • Pause or publish a listing — "pause my listing" to stop taking bookings, "go live" to reopen
  • Turn instant book on or off
  • Set max guests, check-in and check-out times
  • Set your cleaning fee, security deposit or extra-guest fee

Every change is confirmed before it's applied and logged to your account, so nothing happens by accident.

Add photos from your phone

Your best marketing photo is often the one you just took on your phone. Send it on WhatsApp and Airflow files it for you:

  • Add it to a property's gallery — send the photo with a caption as the title (or Airflow asks what to call it and which property it's for). The first photo on a property becomes its main image.
  • Update your owner profile photo — send a selfie captioned "profile photo" and it becomes your owner picture across your account.

No exporting, no uploading, no laptop. Snap, send, done.

It knows what isn't a booking

What happens when you forward something that isn't a booking — a receipt, a newsletter, a message from your cleaner? Airflow recognises it and tells you, rather than inventing a junk booking. The same intelligence that reads a confirmation also knows when there's nothing to read, so your calendar stays clean.

Connect in one tap

To turn on automatic processing, link your WhatsApp number to your Airflow account. Two ways, both quick:

  1. Tap to connect. From your Airflow portal, tap the WhatsApp connect button — it opens a pre-filled chat with a secure single-use code already typed. Hit send and you're linked.
  2. Send a code. Or message CONNECT followed by your property code to the Airflow number.

Once your number is connected, everything above works against your account — matched to the right property, in your currency, on your calendar.

Why WhatsApp-first matters

Most booking software is built browser-first, with everything else bolted on. That's the wrong default for a guesthouse in Lamu, a tour operator in Arusha, or a serviced apartment in Lagos, where the phone is the office and WhatsApp is the front desk.
