One place, everything connected

Running a hosting business means juggling tools: email for enquiries, spreadsheets for bookings, accounting software for invoices, a calendar for availability, payment processors for deposits. Each tool has its own login, its own data, and its own version of the truth.

Airflow sits in the middle and connects them all. Data flows between your tools automatically — you just manage your business.

What you can connect

From the Connections page in your portal, you can link:

Email

  • Gmail — automatic booking email scanning, send emails as yourself
  • Outlook — same automatic scanning and sending
  • Mailgun — fallback email sending for system notifications

When connected, Airflow watches your inbox for booking emails from OTAs, processes them automatically, and labels them so you know what's been handled. You can also send emails to guests directly from the portal through your own email address.

Accounting

  • Xero — draft invoices with multi-line items, FX support, tax handling
  • QuickBooks Online — invoice creation with proper categorisation
  • FreshBooks — client and invoice sync
  • Sage Accounting — OAuth connection with invoice creation

Each booking automatically generates a draft invoice. Modifications update the existing draft. Cancellations adjust accordingly.

Payments

  • Stripe — card payments for direct bookings and subscription billing
  • Paystack — card, M-Pesa, and bank transfer for African markets

Your payment processor handles the money. Airflow tracks the status and keeps your records up to date.

Calendars

  • Google Calendar — bi-directional sync of bookings as calendar events
  • Outlook Calendar — same bi-directional sync
  • iCal feeds — export availability to OTAs and import external calendars

Your Website

  • Custom domain — your booking website on your own domain
  • SSL certificate — automatically provisioned and renewed

How connections work

Every connection follows the same pattern:

  1. Click "Connect" on the Connections page
  2. Authorise Airflow with your provider (OAuth for most services)
  3. Data starts flowing immediately

Airflow securely stores your connection tokens and refreshes them automatically. If a token expires (rare), you'll see a notification in your portal to reconnect.

Connection availability by region

Not all payment processors are available everywhere. Airflow automatically shows only the connections relevant to your business location:

  • Stripe — available globally (except where Stripe doesn't operate)
  • Paystack — available in Kenya and supported African markets

Accounting and email connections are available everywhere.

The compound effect

Each connection you add makes the whole system more powerful:

  • Email + Accounting = bookings automatically become invoices
  • Email + Calendar = bookings automatically block your calendar
  • Website + Payments = guests book and pay directly
  • Website + Calendar = availability syncs in real-time, no double bookings
  • All together = a fully automated hosting operation

You don't need to connect everything at once. Start with email forwarding, add accounting when you're ready, and grow into direct bookings when the time is right.
