Vrbo Xero integration that ends the manual entry

Airflow reads your Vrbo booking-confirmation emails, extracts the full breakdown, and creates an itemised draft invoice in Xero, tagged to the right property, for your review.

Vrbo Xero integration that ends the manual entry

Vrbo sends you a booking-confirmation email for every reservation, but Xero has no way to know about it. Bridging the two by hand is the recurring chore of every Vrbo host with proper books. The Vrbo Xero integration in Airflow removes that chore: it reads the Vrbo email, pulls out the nightly rate, fees and taxes, and prepares a draft invoice in Xero that mirrors the reservation, ready for you to review and approve.

How it works

  1. 1

Watch or forward your Vrbo emails

Connect Gmail or Outlook so Airflow watches for Vrbo confirmations automatically, or forward them in. Each reservation email starts the pipeline.

  2. 2

    Airflow reads the booking

The Vrbo email is parsed for guest, dates, nights, nightly rate, service and cleaning fees, discounts and taxes — the complete financial breakdown.

  3. 3

A draft invoice is built in Xero

Airflow creates a multi-line draft in Xero in your accounting currency, with FX conversion where the booking currency differs, and tags it to the right property.

  4. 4

    You review and approve

The draft sits in Xero for your check. Confirm the lines and approve. Airflow drafts only — it never sends, approves or pays on your behalf.

Built for Vrbo fee structures

Vrbo reservation emails itemise fees differently from other platforms, and Airflow is tuned to read them correctly. It separates the nightly accommodation, service fee, cleaning fee and taxes into distinct Xero lines, so your revenue accounts are not muddled and your reconciliation against the Vrbo payout is straightforward. Each property maps to its own Xero tracking category option for clean per-listing reporting.

Currency and tax handled before Xero

If you take Vrbo bookings in one currency and keep Xero in another, Airflow converts the total using a live FX rate with a fallback chain for less common currencies. Where withholding tax or VAT applies, it appears as its own line. The draft that reaches Xero is already in your home currency and correctly broken down.

Email ingestion keeps it reliable

There is no host-level Vrbo accounting API, so Airflow uses the booking-confirmation email as its trigger. That makes the Vrbo Xero integration dependable: it does not rely on data Vrbo does not expose, and it does not break when Vrbo changes its interface. Your Xero drafts appear the day a guest books.
