How do I manage Airbnb and direct bookings in one place?
Short answer
Use one system as the calendar of record and feed everything into it. In Airflow, Airbnb and Booking.com bookings arrive from their confirmation emails, direct bookings are taken on your own Airflow booking page, and both sit in one calendar and one bookings list. Calendar links run both ways and are read every hour, so a date sold in one place is blocked in the others.
What goes wrong with two systems
Direct bookings usually live in an inbox, a notebook or a spreadsheet, while Airbnb bookings live in the Airbnb app. Nothing connects them, so you are the sync: every direct booking means remembering to block Airbnb, and every Airbnb booking means updating your own records.
The failure is a double booking, and it tends to happen in your busiest week. The second cost is quieter: no single place shows who arrives tomorrow, what each guest still owes, or what the month earned.
How to do it with Airflow

Create the listing in Airflow. Paste your Airbnb and Booking.com calendar links into it, and paste Airflow's calendar link into each of those platforms. Dates now block both ways.

How double bookings are prevented
Three things work together. A booking made in Airflow updates the calendar link the other platforms read. Airflow reads their calendar links every hour and blocks any date it has no booking for. And while a guest is paying on your booking page, the dates are held for them so a second guest cannot take them mid-checkout. Calendar links are read by each platform on its own schedule, so allow for a short delay on their side.
Every guest gets the same experience
Each booking in Airflow comes with a guest portal: dates, balance, documents such as house rules and directions released when you choose, and a way to pay or report a problem. A guest who came through Airbnb gets the same portal as one who booked direct.
Other ways to do this
Airflow is one option. These are the others, and when each is the better choice.
- Calendar links alone
- Airbnb, Booking.com and Vrbo can subscribe to each other's calendars directly. This blocks dates at no cost, with no shared bookings list and nothing for direct bookings unless you keep a calendar for them.
- A channel manager
- A channel manager connects to each platform's API and updates availability and rates within minutes. If you run many listings, or change prices often across channels, that is the right tool, and it costs more.
- A shared spreadsheet or calendar
- Works for one property with a few bookings a month, as long as one person updates it every time.
What Airflow does not do
- Airflow is not a channel manager. It does not push rates or availability through channel APIs.
- Calendar links carry dates only, and each platform reads them on its own schedule.
- Changing an Airbnb booking still happens in Airbnb; Airflow picks up the change from the email that follows.

Do I need a channel manager?
Not for one or a few listings where dates are the main thing to keep in step. You do if you need rates and availability updated across many listings within minutes.
