What is the best software for managing a small holiday rental?

Short answer

It depends on which job costs you the most time. If you change prices across several channels every week, you need a channel manager or a full property management system. If your only problem is the bookkeeping, an accounting sync tool is enough. If you have one to a few properties and want bookings from every channel in one calendar, direct bookings with payment, a guest portal and draft invoices in your accounts without running a full PMS, that is what Airflow is built for.

Why "best" is the wrong question

Software for holiday rentals falls into a few kinds that overlap in their marketing and differ in what they actually do. Most comparison lists rank them together, which is how a host with one cottage ends up paying for a system designed for a hundred apartments.

A small rental has a short list of real jobs: know what is booked, avoid double bookings, get paid, tell the guest what they need, and keep the books. Start from whichever of those is currently done by hand.

Many small hosts need none of the first two until they pass a handful of listings.

What Airflow covers

Bookings from Airbnb, Booking.com, Vrbo and Expedia read from their confirmation emails into one calendar. Calendar links both ways, read hourly. A booking page, widget and optional website on your own domain, with card payment into your own account. A guest portal with every booking. If you need rates updated on every channel within minutes, or one inbox for guest messages sent inside Airbnb, Booking.com and Vrbo, choose a property management system with official connections to those platforms. If you already run one and only want the ledger kept, an accounting sync tool is simpler. Airflow is aimed at the host or small manager who wants the booking, the guest, the payment and the accounts connected without that weight.

For one listing on one or two platforms, the Airbnb and Booking.com apps with their calendars linked are often enough, at no cost.
A spreadsheet
Still the most common system for a single property. It works until bookings overlap or tax season arrives.

What Airflow does not do

Common questions

What software do I need to run one Airbnb?

Often very little: the Airbnb app, a calendar and an accounting package. Add a tool when a specific job becomes a burden, usually bookkeeping first, then direct bookings.

Do I need a property management system for two or three properties?

Usually not. A PMS earns its cost when you manage rates across channels for many listings or coordinate staff. For a few properties, one calendar, calendar links and automated bookkeeping cover most of the work.

What is the difference between a channel manager and Airflow?

A channel manager connects to each platform's API to push rates and availability. Airflow reads the booking emails those platforms send, blocks dates by calendar link, takes direct bookings and drafts your invoices. It does not push rates.

Can I manage a holiday rental without spreadsheets?

Yes. Once bookings arrive in one calendar and each becomes a draft invoice, the spreadsheet's two jobs, tracking who is coming and tracking the money, are covered.
