Is There One Inbox for Airbnb, VRBO and Booking.com Guest Messages?

The short answer

Yes. A channel manager or property management system with an official connection to each platform can show Airbnb, VRBO and Booking.com guest messages in one inbox and let you reply from it. Hostaway and Guesty are two examples.

It has to be that kind of software. Airbnb, VRBO and Booking.com keep guest conversations inside their own systems and only open them to approved partners. A tool without that approval cannot read or answer those messages, whatever its inbox looks like.

Airflow is not that kind of software, and we would rather say so here than have you find out after signing up. What Airflow does with guest messages is described further down.

Why messages are scattered in the first place

Each platform runs its own messaging:

  • Airbnb keeps the conversation in the Airbnb app and hides the guest’s real email address.
  • Booking.com gives you a relay email address for the guest, which passes messages through its own system.
  • VRBO has its own inbox in the owner dashboard.
  • Direct guests write to your ordinary email, or message your phone.

Four places, four notification sounds, and no shared record of who has been answered.

What a real unified inbox needs

  • An approved connection to each platform, so messages arrive and replies go back through the platform’s own thread. Ask any provider which platforms they are an official partner of.
  • Replies that land in the right place. A reply to an Airbnb guest must appear in the Airbnb conversation, or the guest never sees it and the platform records no response from you.
  • The booking beside the message: dates, property, what was paid.
  • Saved replies and scheduled messages for the questions every guest asks.
  • A way to share it with a co-host or cleaner without sharing your platform passwords.

What it costs you

A connected inbox comes as part of a channel manager, and that is a larger commitment than an inbox. Your listings are connected to the software, rates and availability are then managed from it, and on Airbnb a software-connected listing is on the single host fee. Setup takes time, and the monthly price usually rises with the number of listings.

For one or two properties, a lighter set-up is often enough:

  • Turn on notifications in each platform’s app and reply there. Response time on the platform is what the platform measures.
  • Save your standard answers as quick replies in each app.

What Airflow does with guest messages

Airflow keeps a thread for every booking. It is a record beside the booking, not a replacement for the platforms’ inboxes.

Each thread holds:

  • the original booking email
  • every email Airflow sent the guest for you, such as a confirmation or arrival details
  • emails the guest sent you, found in your connected Gmail and matched by the guest’s email address
  • your replies

You can reply from the thread by email. The reply goes from your connected Gmail or Outlook account, or from Airflow’s own mail if you have not connected one. The Messages page shows which bookings are waiting for a reply and for how long.

What it does not do:

  • Messages sent inside Airbnb, Booking.com or VRBO are not shown. They stay on those platforms, and you answer them there.
  • WhatsApp messages from guests are not shown.
  • A booking with no guest email address cannot be emailed. That is common with Airbnb, which hides the address.

So Airflow is most useful here for direct bookings and for any guest whose email address you hold. We describe the thread in every guest message in one thread, beside the booking.

Which do you need?
